Data cleansing & consolidation

Your data, in one place and finally behaving.

Spreadsheets here, an old CRM there, event lists everywhere. I’ll pull it all together, clean it up and set it up properly in your CRM, so you can actually use it. Like a mammoth, it never forgets a contact. Unlike your old CRM, it never keeps a duplicate.

Data cleansing

Bad data is quietly costing you.

Duplicate contacts. Companies spelt three different ways. Job titles typed however people fancied. Half the list hasn’t got an email address and the other half bounces. Sound familiar? It’s why campaigns underperform, sales don’t trust the leads and nobody believes the reports.

I don’t sell you a tool. I roll my sleeves up and do the work: find every source, merge it, match it, clean it, fill the gaps and get it into a CRM that’s set up to keep it clean.

I spent 13 years in the email marketing and marketing automation world with CommuniGator and Spotler, and I’ve led CRM implementations, migrations and integrations across Microsoft Dynamics, HubSpot, Workbooks and Spotler. Messy data is my natural habitat.

What you get

What data cleansing covers.

Everything you’d get from a data cleansing tool, done by a human who knows what the data is actually for.

Data audit and quality score

A health check of what you’ve got, where it lives and how good it really is.

  • Every source found and mapped
  • Completeness checked on the fields that matter
  • A clear quality score and a prioritised fix list

Consolidation

Spreadsheets, old systems, event lists and inboxes pulled into one master database.

  • All your sources merged into one
  • Fields mapped and aligned across systems
  • Nothing important lost along the way

Duplicate matching

Duplicate contacts and companies found and merged, including the near matches your CRM misses.

  • Fuzzy matching, not just exact matches
  • Contacts linked to the right companies
  • Merge rules you approve before anything changes

Clean up and standardising

Names, job titles, countries and company names tidied into one consistent format.

  • Job titles grouped so you can actually segment
  • Formatting fixed across every field
  • Bounced, junk and unmarketable records flagged

Enrichment and gap filling

Missing details filled in where they can be, so your records are actually useful.

  • Missing fields highlighted
  • Key company and contact details enriched
  • Target and non target accounts flagged

CRM setup and import

Your clean data imported into a CRM that’s set up properly, with rules to keep it clean.

  • CRM chosen, configured or tidied up
  • Clean import with properties mapped
  • Duplicate rules and data housekeeping in place

How it works

Four steps to clean data.

1. Audit

I find every source, check what state it’s in and show you what I’ve found.

2. Clean and match

Duplicates merged, formats fixed and gaps flagged. You approve the big calls.

3. Import

Clean data loaded into your CRM, mapped properly and ready to use.

4. Keep it clean

Rules and routines so it stays that way, with ongoing help if you want it.

Ways to work together

Ongoing data care

Sounds like me

Your contacts live in spreadsheets, inboxes and old systems.

You know there are duplicates, you just don’t know how many.

Job titles and company names are a free for all.

You’re moving to a new CRM and don’t want to take the mess with you.

The same person gets three copies of every email.

Nobody trusts the numbers in your reports.

Proof it works

Done it before. Happy to again.

FAQ

Questions I get asked a lot.

Straight answers. Anything else, just ask.

Do I need a particular tool or CRM?

No. I work with whatever you’ve got, whether that’s HubSpot, Salesforce, Microsoft Dynamics, Pipedrive, Spotler, Workbooks or a pile of spreadsheets. If you need a CRM, I can help you choose one too.

Do I get a say in what gets merged or deleted?

Always. I flag the duplicates and the changes I’d make, and you approve the big calls before anything is merged or removed.

Can you fill in the gaps in our data?

Yes, where it helps. I can enrich key details like company size, industry and website, and flag what’s missing so you can decide what matters.

What happens to our data?

It stays yours. I work in your systems or in securely shared files, I never sell or share it, and I delete my working copies when we’re done.

How long does it take?

It depends how many places your data lives and how messy it is. A health check is quick. A full consolidation and CRM setup takes longer, and I’ll give you a clear timeline before we start.

Can you keep it clean afterwards?

Yes. I’ll set up rules and routines to stop the mess creeping back, and I can look after it on a monthly retainer if you’d like.
